Sales operations coordinator
Tasks
1) SUMMARY OF POSITION
Responsible for supporting accurate, timely and efficient sales operations across House of Brands Korea's directly operated boutiques and wholesale network in South Korea. Reporting to the Retail Director, the Sales Operations Executive coordinates boutique and wholesale orders, product availability, logistics, import and delivery follow-up, inventory movements, IBP data, special-edition tracking and operational reporting. The role acts as a key liaison among boutiques, HQ Sales Administration, logistics providers, Finance and the Commercial team to ensure reliable execution, data accuracy and prompt issue resolution.
2) KEY OBJECTIVES
- Ensure accurate and timely processing, confirmation and follow-up of boutique and wholesale orders from request through delivery.
- Support uninterrupted product flow by coordinating shipments, import, customs, warehousing, delivery to points of sale and exceptional logistics flows.
- Maintain reliable order, inventory, allocation, master-data and report records across relevant systems and operational trackers.
- Support IBP, product launches and special editions through disciplined data preparation, timeline management and cross-functional follow-up.
- Provide responsive operational support to boutiques and management while continuously improving processes, controls and service levels.
3) ACTIVITIES
SALES ORDER & BOUTIQUE ORDER MANAGEMENT
- Receive, validate, consolidate and process product orders and replenishment requests from directly operated boutiques and wholesale points of sale in accordance with approved plans and procedures.
- Coordinate order submission and confirmation with HQ Sales Administration, and follow product availability, allocations, backorders, cancellations, substitutions and delivery priorities.
- Maintain accurate order trackers by brand, collection, reference, channel and point of sale, and provide clear status updates to the Commercial Director and relevant stakeholders.
- Support launch, novelty, high-value and special-edition orders, ensuring that approved quantities, allocations, client commitments and delivery requirements are properly recorded and followed up.
LOGISTICS, IMPORT & DELIVERY COORDINATION
- Act as the day-to-day operational contact among HQ Sales Administration, logistics providers, customs brokers, Finance, boutiques and wholesale partners for inbound and outbound product flows.
- Monitor shipment schedules, shipping documents, import and customs-clearance status, warehouse receipt and delivery to points of sale, escalating delays or risks promptly.
- Coordinate exceptional flows such as boutique transfers, returns, consignment movements, temporary loans, event stock and other approved special handling requirements.
- Investigate and resolve quantity, reference, serial-number, documentation, damage or delivery discrepancies, maintaining complete records and timely communication until closure.
INVENTORY, ALLOCATION & STOCK ACCURACY
- Monitor central, boutique and relevant trade inventory, stock movements, replenishment needs, aging and product availability using approved systems and trackers.
- Prepare allocation, replenishment, transfer and stock-balancing proposals based on approved commercial priorities, sales performance, launches and client demand.
- Support stock counts, cycle counts, month-end and year-end reconciliations, and work with Finance, logistics providers and boutiques to resolve inventory differences.
- Maintain accurate product, serial-number and movement records and flag slow-moving stock, supply gaps, excess inventory or other operational risks requiring management attention.
IBP, FORECASTING & SPECIAL EDITIONS
- Prepare and maintain the operational data required for IBP, including forecasts, actual sell-in consumption, outstanding orders, inventory, deliveries and relevant point-of-sale inputs.
- Support rolling forecast updates and weekly consumption by actual sell-in, including the carry-forward of unconsumed monthly forecasts in line with the approved IBP process.
- Maintain end-to-end trackers for special editions, capsule projects and exceptional product requests, covering quantities, order confirmation, production, allocation, delivery and key dependencies.
- Coordinate with Commercial, Marketing, boutiques and HQ teams on launch and special-edition timelines, promptly highlighting changes, risks and decisions required.
- Meet all planning, ordering and reporting deadlines and ensure that approved changes are reflected consistently across relevant files and systems.
SYSTEMS, MASTER DATA & PROCESS CONTROL
- Maintain accurate operational master data, order information and product-flow records in relevant company systems, including SAP interfaces, boutique systems and approved local trackers.
- Act as a key operational user for sales and boutique systems, coordinate issue resolution with D&Tech and service providers, and support testing, user guidance and process implementation.
- Maintain clear standard operating procedures, approval records, filing and audit trails for orders, shipments, inventory movements, returns and other controlled transactions.
- Coordinate with Finance on invoices, credit notes, customs and tax documentation, intercompany records and discrepancies affecting product or financial reconciliation.
REPORTING & OPERATIONAL SUPPORT
- Prepare accurate and timely operational reports covering orders, confirmations, backorders, deliveries, inventory, allocations, stock movements and service-level issues.
- Track lead times, order fulfilment, delivery performance, recurring discrepancies and process bottlenecks, and provide concise observations and recommended corrective actions.
- Respond promptly to boutique operational questions, maintain a clear action log, and coordinate follow-up with the responsible local, regional or HQ stakeholders.
- Support operational readiness for boutique openings, relocations, launches, events, price changes, stock counts and other business-critical activities as required.
COLLABORATION, COMPLIANCE & CONTINUOUS IMPROVEMENT
- Work closely with Commercial, Retail, Finance, Marketing, Logistics, After-Sales Service, D&Tech and HQ teams to ensure aligned and reliable execution.
- Follow company policies, internal controls, customs and tax requirements, product-traceability standards, data confidentiality rules and segregation-of-duties principles.
- Identify recurring operational issues and improvement opportunities, document root causes and support practical changes that strengthen accuracy, efficiency and boutique service.
- Perform other reasonable sales-operations and commercial-support duties assigned by the Commercial Director in line with business needs.
Requirements
- 2–4 years of experience in sales operations, retail operations, order management, or a related field
- Strong coordination and organizational skills, with the ability to manage multiple tasks and deadlines
- Proficiency in Microsoft Excel
- Good understanding of sales order processing, inventory management, and logistics coordination
- Good written and spoken English communication skills, with the ability to communicate effectively with HQ and internal teams
- Strong attention to detail and a proactive, problem-solving mindset
