Tasks
Job Purpose
This role supports end-to-end recruitment operations and HR administration in line with company standards, with a strong focus on store hiring, new store opening recruitment, volume hiring coordination, and recruitment data management
Core Accountability
This role will play a key part in ensuring a smooth and efficient recruitment process across both store and office functions, while providing administrative and operational support to the People & Development (P&D) team. The position will particularly support frontline store recruitment, upcoming new store openings, and high-volume hiring needs, while ensuring accurate recruitment tracking and reporting.
Key Responsibility;
- Coordinate interview schedules between candidates, hiring managers, store managers, and external agencies
- Post job advertisements across various recruitment platforms and maintain updated job listings
- Manage candidate pipelines, resumes, and recruitment database tracking in a timely and accurate manner
- Support end-to-end recruitment coordination for both store and office positions
- Support store recruitment activities, including frontline hiring for retail positions such as Sales Associates, Stock Associates, and Store Supervisors
- Coordinate recruitment activities for new store openings, including hiring timeline management, interview scheduling, recruitment event coordination, and hiring progress follow-up
- Support high-volume hiring campaigns to meet workforce demands for store operations and business expansion
- Build and maintain talent pools for store positions to support ongoing and future hiring needs
- Liaise closely with store managers, hiring managers, and recruitment agencies to align on hiring needs, candidate status, interview feedback, and onboarding schedules
- Track store manpower plans, approved headcount, open vacancies, hiring progress, and joining status for both existing and new stores
- Prepare and maintain recruitment trackers, dashboards, and regular hiring reports to monitor candidate pipeline, vacancy status, time-to-fill, source effectiveness, and hiring progress
- Ensure all recruitment-related data is updated accurately in Excel, Workday, and other internal systems
- Support onboarding logistics, including document collection, first-day preparation, Workday account creation, X-Click request submission, and coordination of IT account setup
- Communicate with internal stakeholders and external partners in a timely, professional, and service-oriented manner
- Support ad-hoc HR projects and administrative tasks such as expense handling, general clerical assistance, and preparation of recruitment-related documents
- Maintain confidentiality and proper handling of candidate and employee data in line with company policies
Requirements
Requirements
- University graduate and above
- Minimum 1 year of relevant experience in recruiting, HR, or administrative support
- Experience in store hiring, retail recruitment, or volume hiring is a plus
- Experience supporting recruitment for new store openings is an advantage
- Strong organizational skills with the ability to work independently and manage multiple tasks with accuracy
- Strong attention to detail and data accuracy in recruitment tracking and reporting
- Comfortable handling multiple vacancies and large volumes of recruitment data in a fast-paced environment
- Proficient in Microsoft Office, especially Excel, Outlook, Word, PowerPoint and WD system
- English proficiency in reading and writing is required
- Experience working in a fast-paced environment or fashion/retail industry is a plus
- Good communication and coordination skills with a proactive and flexible mindset
